You can make edits to individual draft invoices and change the status of invoices in different stages of the invoice workflow. Invoice edits can be made directly on the invoice, while status changes can be managed from the invoice workflow.
Edits available for individual invoices include, but are not limited to the following:
Edit and remove line items
Add or adjust usage
Change billing and payment terms
Update the payment collection settings
Update customer billing details
Edit invoice details
To edit an invoice:
Open the invoice and click the three dots to the top right.
Select Edit invoice.
Make your edits. Line item edits include the following:
Delete a line item by clicking the pencil icon next to the item and selecting Delete.
Edit line item details, including adding/editing usage, click the pencil icon next to the item.
Click the eye icon to hide or show line items with a zero fee amount.
Click + in the items section to add a new line item.
Click Apply edits.
Note: To protect against fraud, satisfy legal and tax compliance requirements (particularly in the EU and UK), and ensure a reliable audit trail, once an invoice has been issued, it cannot be edited.
To make changes to an issued invoice, use the void and reissue workflow.
How editing invoice details affects future invoices
Edits made to individual invoice line items, payment terms, and payment collection settings only apply to that invoice and will not affect future invoices in the subscription. To update future invoices, amend the subscription or edit the invoice settings for the subscription.
Edit invoice status
To edit the status of an invoice, head to the invoice workflow (Invoices > Invoice workflow).
Draft invoices (In progress, Ready for review, Ready to issue): To cancel a draft invoice, click the ⋯ icon next to the invoice and select Cancel invoice.
Issued invoices (Awaiting payment): From the Issued step, you can:
Mark it as paid by clicking Mark as paid.
Void it by clicking the ⋯ icon and selecting Void invoice.
Mark it as uncollectible by clicking the ⋯ icon and selecting Mark uncollectible.
Resolved invoices (Paid, Void, Uncollectible): The status of resolved invoices cannot be updated.
