Creating a Quote

How do I start a new quote?

Navigate to the “Quotes” page in the left sidebar and click “Create Quote” button in the right corner. You can also start a new quote from the homepage!

What quote information do I need to fill out right away?

You'll be asked to complete two fields:

  1. Customer

    1. Select the Customer from your CRM to which you are selling.

  2. Opportunity / Deal

    1. Choose the Deal or Opportunity the quote is for.

      • You can select from the list populated from your CRM, search, or click “Create New” to create a new one.

Why is the Quote sending button disabled?

The button stays disabled until the Quote is complete, which includes:

  • An Opportunity / Deal is selected

  • Products and Pricing are added

How do I change the business entity on a quote?

How do I change the currency for my quote?

To change the currency for a quote, click the dollar icon beside Total at the bottom of the product table.

How do I set the quote duration or contract length?

Configuring Products, Pricing, and Quote Length

How do I add a product to my quote?

On any Quote in Draft:

  1. Click the “+” button to add a product or type in the space denoted “Enter Product”

  2. Select the product you want from the dropdown

  3. The product will appear as a new line in your quote with configuration options

You can add multiple products if needed—each will appear as a line item.

How do I set pricing for a product?

First, pick your pricing method:

  • Flat Fee: Fixed fee.

  • License: Price per unit where quantity is known in advance. Ideal for seats / license type products.

  • Usage: Price per unit where quantity is not known in advance (e.g., API calls) with no pre-purchase.

  • Committed Usage: Price per unit where quantity is not known in advance (e.g., API calls) with pre-purchased units.

  • Percentage: Price per percentage of unit

Once your pricing method is chosen, you will be able to edit the prices.

What pricing models are supported?

The system supports a range of pricing models, including one-time fees, subscription-based, tiered pricing, and metered or usage-based pricing—ideal for complex, high-volume enterprise quotes.

What advanced options are available for my quote?

  • Hiding values: where you see an 'eye' icon, you can click to hide this value from showing on the customer-facing PDF

  • Phases: for ramp deals, you can have multiple sections of your quote covering multiple date ranges. The most common use case is to sell a different number of licenses for different date ranges.

How does billing frequency or cadence work?

The Billing frequency, found below the product table, drives the invoicing schedule. For example, a product may cost $100/month on a 1 year contract. With a billing frequency of monthly, the customer would receive 12 invoices for $100 each. With a billing frequency of annual, the customer would receive 1 invoice for $1,200 total.

What is a quote expiration date?

Quote expiration is the date by which the quote must be signed or it will cease to be valid. Turnstile does not allow quotes to be signed after the expiration date. After a quote has expired, you may update the expiration date and re-send for signature.

Normally, quote expiration is set between 1 week and 1 month out. However, it is common to be more specific with quote expiration date setting if you are driving urgency for your customer to sign the deal and/or you are approaching end of quarter and offering a special price until that date.

How do I change the start date?

At the top of your quote, change the start date to a fixed date or set to “upon agreement”, where the start date is set to the date the quote is signed on the date the quote is signed.

Why is my CRM deal not appearing in the quote deal dropdown?

A deal may not appear in the quote deal dropdown if the deal in your CRM is tied to a different customer. A workaround for this issue is creating the quote in Turnstile and choosing + Create new deal from the dropdown. Once you send the quote, you can return to your CRM and reassign the quote to the intended deal.

Sending Quotes

Why is the Review and send button not clickable?

If the Review and send button is greyed out, the quote may be missing information. Hover over Review and send to discover what details need to be added to the quote.

What options do I have for collecting customer approval / acceptance / signature for a Quote?

Turnstile offers two approaches:

  1. Sending a Quote for E-Signature- Both parties (your customer and you) sign a PDF Quote.

  2. Checkout page (requires an invoicing integration). Similar to an Amazon or Shopify checkout experience. Your customer "checks out", which may include providing their payment information and paying the first invoice at time of Quote acceptance.

How do I select from the my quote delivery method?

Once you click "Review and send", Step 2 will allow you to select from two quote delivery options: E-Signature or Checkout

How do I send a quote for e-signature?

As you review the quote, on Step 2 you will have the option to send via e-signature.

What happens after I click “Send for e-sign”?

The Quote is sent for signature to your customer and your internal signer. Signing order are configurable prior to sending. You can track what is happening with your quote by clicking Event History in the top right corner of your sent quote page.

How do I choose who signs the quote?

Before sending the Quote for signature, you can select who signs the Quote from your company and your customer's company at the bottom of the Quote document.

What if the signer at my customer isn’t listed?

The available signers at your customer are populated from Contacts in your CRM. If the signer at your customer is not in your CRM, you may add the person in Turnstile, which will be automatically written back to your CRM.

How do I know the quote was sent successfully?

Once you send the Quote, the system will confirm that the quote has been dispatched by updating the status at the top of the Quote screen. You may also review the quote signing history using the Event History tab in the top right of the Quote.

Can I resend a quote for signature if needed?

Yes, if a quote hasn't been signed yet, you can retract the Quote and resend it. After a Quote is retracted, it is in a Draft state. In a Draft state, you may edit the Quote and your customer is blocked from signing the Quote.

When a Quote is retracted and then resent, the prior signing link remains valid to ease your customer's signing process.

What status does a quote show while it’s waiting for signature?

When sent and neither party has signed it, the status is 'Sent'. When sent and only your customer has signed it, the status is 'Customer signed'.

How do I get a quote accepted on a checkout page?

As you review the quote, Step 2 is where you will select your quote acceptance method as “Checkout page”. You will have the option to select if payment is required for your customer to accept the quote:

  1. If yes, payment will be required for the customer to accept agreement. Customer must enter their payment information and pay the first invoice at the time of quote acceptance.

  2. If no, payment information will not be required of the customer until the first invoice. Customer does not enter payment information nor pay the first invoice at the time of quote acceptance. Invoice sending follows the settings for that subscription.

Once you have selected, your delivery method, click Next step in the bottom right of the page, then Publish quote.

What happens after I click “Publish checkout”?

Turnstile generates a link for your customer to accept the agreement (and provide payment information depending on selection of checkout type).

Turnstile does not send this link to your customer. You must provide this link to your customer (e.g., via email or slack)

How do I choose who signs the quote for the checkout page?

Using checkout page, you don't need to select this in Turnstile. Simply send the checkout link to whoever at your customer is best fit to sign the agreement.

How do I know the checkout page was published successfully?

The Quote's status will be updated to "Published Checkout". You may also view the customer-facing checkout page before sending the link to your customer.

Can I make edits after publishing a checkout?

Yes, if a checkout page hasn't been completed yet, you can Retract Quote to make edits. After a Quote is retracted, it is in a Draft state. In a Draft state, you may edit the Quote and your customer is blocked from checking out.

When a Quote is retracted and then re-published for checkout, the prior checkout link remains valid to ease your customer's signing process.

Can I cc someone on a quote email?

Currently, it is not possible to cc other contacts when sending quote emails from Turnstile. If you would like to cc others, choose the Share link quote delivery method. This will allow you to copy a link to the quote that you can send to your customer.

What is the email address that sends quotes?

When you select Send email as your quote delivery method, the email will be sent from no-reply@tryturnstile.com and have the user's email CC'd so they will be notified if the e-signer responds.

Can I change the email address the quote is sent from?

Currently, it is not possible to change the email address a Turnstile quote email is sent from. If you would like send your quote from a different email, choose Share link as your quote delivery method.

Which email address sends test emails?

Test emails are sent from no-reply@tryturnstile.com

Invoice Preview on the Quote and Custom Invoice Schedule

How do I preview the invoices my customer will receive?

Click the Preview invoices button at the top right of the Quote screen.

How do I add a custom invoice schedule in my quote?

Click Preview invoices next to Billing frequency. This will open a panel on the right side. Then click the slider icon in the right corner of the side panel. This will open the Customize invoice schedule window. To add a new invoice click Add invoice in the bottom left of the window.

What can I customize in the Invoice Preview panel?

Products and amounts can be moved between invoices as long as the total contract value is billed. This overrides the billing frequency.

Some limitations exist, in particular on usage items, since the amount is not known until after the period of the usage ends.

Does the system enforce that the total matches the quote amount?

Yes. While Turnstile allows you to move around line items and amounts to be invoiced, the total contract value must be assigned to invoices. If you'd like to adjust the amount you bill to your customer, that is best done on the Quote itself.

After Quotes are approved

What happens after my quote is signed?

Once your quote is signed by both parties, it becomes a subscription.

How do I view a quote that has been partially signed?

To view a partially signed quote click View & sign quote at the top right of the quote page. You will be brought to the e-sign page and will be able to see the partially signed quote at the bottom of the page.

What happens after my customer fills out the checkout page?

Once your customer fills out the appropriate information in the checkout page, the quote becomes a subscription.

What is a Subscription?

A Subscription represents the contract as well as subsequent renewals in 2 major respects:

  1. Entitlements: products your customer has bought. E.g., they may have a 1 year contract with 2 seats for 3 months and then 3 seats for 9 months.

  2. Invoices: what invoices the customer will receive under the contract they've signed. Continuing the same example, the same entitlements would generate different invoices with a quarterly vs. annual billing frequency.

When your quote is signed by both parties, it becomes a subscription.
