Send a quote

Review billing terms, set up delivery, and send your quote for e-signature or checkout page acceptance

Sending a quote is the final step in the quoting process. Learn how to share a completed quote with a prospect for review and acceptance through two acceptance methods:

  • An e-signature flow in which both parties sign the quote to close the deal.

  • A checkout page, where prospects accept the quote to close the deal. You also have the option to download your quote as a PDF and send it directly to your prospect.

This guide covers the review and send workflow, accessed via the Review and send button on an in-progress quote. The review and send workflow has three steps:

  • Review billing

  • Set up quote delivery

  • Review the quote

Step 1: Review billing workflow on a quote

In the review billing workflow step, you will be able to review the billing terms set on the quote you created. Let’s go section by section:

Invoice workflow settings

Review billing displays the invoice workflow that will apply to this quote. Any changes made to the invoice workflow settings on this quote won't affect the account-wide defaults.

Click the pencil icon on the invoice workflow preview to open invoice settings, where you can override the account's default invoice and payment settings for this quote specifically — including workflow automation (invoice approval, automatic issuance) and payment collection (Stripe vs. manual, auto-charge, accepted payment methods).

These settings mirror the account's default invoice settings and start out inherited from Settings > Default invoice settings. For a full explanation of each setting, see default invoice settings.

Billing frequency

The billing frequency setting defines how often your customer will be billed for the products/services outlined in the quote. Your options are monthly, quarterly, semi-annual, and annual.

Invoice generation

The invoice generation setting determines what date invoice creation is based on. Your options are Based on service start date and On the 1st of each month.

If you choose On the 1st of each month, the first invoice may have an adjusted total based on the number of days left in the billing period upon agreement.

Service start date

The service start date is when your customer will have access to the products/services outlined in the quote and will serve as the beginning of the billing period.

Billing contact information

The billing contact setting determines where invoices and receipts for this customer are sent. This information also populates the Bill to section of all invoices for the customer with their company name, billing email, and billing address.

Invoice schedule

On the right side of the page, you will be able to preview the invoice schedule for this subscription. If you make changes to the billing period, service start date, or invoice generation, this will automatically reflect in the invoice schedule.

Step 2: Set up quote for delivery

In the quote delivery step, you'll decide if the quote should be accepted via e-signature or a checkout page, and whether the quote will be delivered via email or a shared link.

Acceptance methods

  • E-signature: Your customer will accept the quote by signing electronically.

    • If either signer is incorrect in the Review signers section, use Return to quote to edit the contact.

    • Review, edit, and add default signers from your team

  • Checkout page: Your customer will accept the quote on a checkout page.

    • Choose whether payment is required to accept the quote in the Review your checkout page section.

    • If you select Yes: Customer will be required to pay upon checkout, you can review the accepted payment methods or make changes to the accepted payment methods by clicking Manage payment methods.

Note: You must have Stripe integrated to be able to accept online payment.

Delivery methods

You can set a default delivery method for all quotes from Settings > Quoter settings > Quote delivery, but that setting can be overwritten on individual quotes. Delivery methods are:

  • Send email: Turnstile will email the quote to your customer to be accepted.

    • Preview the email content and make any changes in the Review your email section.

    • If you need to change the email recipient, use Return to quote and edit the contact.

  • Share link: Copy a link to your quote and then share it with your customer. The link will be generated in your final review step.

Tip: You can customize your signing process by visiting Settings > eSign Email Settings.

Step 3: Review Quote

In this final step, you will review your quote to confirm everything looks correct, then click Send quote or Publish quote, depending on your delivery method.

From here, you will have the option to Track & manage your quote. Clicking Track & manage will open the sent quote where you can track the quote's Event History.

Resend a quote

If you need to resend the quote, e-signature link, or checkout page to a customer, open the sent quote, click the three-dot menu, and select Copy checkout link, or Copy customer signature link, or Resend customer email at the top of the sent quote page.

Edit a sent quote

If you need to make a change to a sent quote, you must first retract the quote. Once a quote has been accepted, it cannot be retracted or edited. To retract a quote:

  1. Open the quote and click the three-dot menu.

  2. Select Retract quote.

Retracting a quote will temporarily prevent any signing actions from taking place. Once changes are complete, you can reshare the quote with your customer. The link to the quote will not change, so the customer can still sign from the existing quote link.

Alternatives to directly sending a quote

Download quote as PDF

To send the quote as a PDF directly to your customer, select the three-dot menu in the top right corner of the Edit Quote page and select Export as PDF.

Finalize quote as subscription without customer approval

If you choose not to send your quote, you have the option to convert your quote to a subscription. To do so:

  1. Select the three-dot menu in the top right corner of the Edit Quote page.

  2. Select Finalize as subscription.

This action will redirect you to a subscription page with your quote details pre-filled.
