How to create subscriptions for past or in-progress contracts

In this article, we will discuss how to add an existing contract to Turnstile by creating a direct subscription. If the subscription is already in progress, you can set a billing takeover date for Turnstile to start generating invoices for the subscription.

To add a subscription without creating a quote, click Add subscription from the subscriptions tile on the Home page or head to Customers > Add subscription. Once you select Add subscription you will choose between two contract uploading paths: AI import and Manual entry.

Create a subscription via AI Import

When you select AI import, you will be brought to the AI import page, where you will upload your contract for AI ingestion.

1. Upload contract PDF

  • In the top section of the AI import page, click the upload rectangle to add your contract PDF.

  • Once you upload your contract, it will appear in the Subscriptions table, and our AI will take a moment to process data to create a draft subscription from the contract details.

2. Review Subscription

  • Once the contract data has been extracted by our AI, a Review subscription button will appear on the far right of the Subscriptions table. Click Review subscription or Provide info.

  • Open your uploaded contract PDF in a new window by clicking View contract in the top right of the Subscriptions section.

  • The review subscription step is where you will confirm customer details in the Company info section and product details, such as name, pricing, and quantity, in the Subscription section.

  • To update the customer's company info, click Edit in the top right of the Company info section. Any info you update will be reflected in your CRM to maintain customer accuracy.

  • To update the product details, click Edit in the top right of the Subscription section. Make changes to products, pricing, service duration, phases, and enable/disable auto-renew.

  • After making your changes, click Review import.

  • Once you have fully reviewed the subscription, click Next: Set up billing.

3. Review Billing

  • Confirm the following Billing settings:

    • Invoicing entity

    • Billing frequency

    • Service start date

    • Invoice generation

    • Payment terms

  • Confirm invoice settings by clicking Edit in the Invoice workflow preview.

  • Preview the invoice schedule, which shows the amount and dates for all invoices associated with the subscription.

    • In the invoice schedule, you will see a banner titled Turnstile begins billing. This is when Turnstile will begin generating invoices for this subscription. The billing takeover date can be adjusted in the Select the first invoice Turnstile should send dropdown.

    • If you need to adjust the invoice schedule, click Edit, and the custom invoice schedule will open.

  • Once you have reviewed billing, click Next: Review and finalize.

4. Review & Finalize

  • Confirm your subscription details before it becomes an active subscription.

  • If anything needs to be changed, you can navigate to the previous step by clicking Back in the bottom left of the page.

  • Once you have reviewed your subscription, click Finalize.

Manually create a new subscription

When you select Manual entry, you will be brought to the Edit subscription page, where you will build the subscription based on the contract.

1. Upload the contract PDF (optional)

On the right side of the Add a subscription page, you have the option to upload the contract PDF. We strongly recommend uploading the contract PDF so you can have a side-by-side comparison as you enter the contract details.

2. Add contract details

On the left side of the Add a subscription page, input the contract details:

  • Customer

  • Plan (optional)

  • Service start date and duration

  • Product(s) and pricing

3. Add phases (optional)

  • Phases allow you to split a service period. Phases are helpful for situations like offering discounts for an initial trial period, multi-year contracts, or adjusting charges over time.

  • To structure different time periods with unique pricing, use the + Phase tab and select:

    • Duplicate phase- Copies all products and pricing from the existing phase for easy modification.

    • Blank phase- Adds an empty phase to customize from scratch.

  • Use the Enter phase name field to label each phase. Customized names help clarify the purpose or duration of each phase for both internal teams and customers. Example: "Pilot Phase" or "Months 2–7."

Note:

  • Phases cannot have overlapping time periods; if they do, it will disrupt the invoice schedule.

  • Phases cannot have the same start date.

  • You can create up to 6 phases per quote.

4. Add billing details

In the Billing section, you will add invoicing details for this contract:

  • Invoicing entity

  • Billing frequency

  • Invoice generation

  • Payment terms

  • Billing takeover date (allows you to select when Turnstile will begin generating invoices for this contract)

  • Customer billing contact information

5. Add terms (optional)

If your contract has terms, click + Add Term to include them on the subscription.

6. Review subscription

  • Once you have filled in all of the relevant contract information, click Review in the top right of the Add a subscription page.

  • From the Preview subscription page, you can confirm the subscription details and preview the invoice schedule, which will highlight the billing takeover date (if one was set).

  • To make edits, click the Edit button at the top right of the page.

7. Create subscription

After confirming the subscription looks as you intend, click Create subscription in the top right of the Preview subscription page.

Managing Your Subscription

After adding a subscription, it will appear on the customer page along with the Turnstile-generated invoices in draft.
